eClubhouse v1.4

GHIN will be releasing the next phase of eClubhouse, eClubhouse v1.4 in the coming days. The highlight of this release will be the ability for an administrator to to add an individual into an event.

Please Note: GHIN will notify you when these changes and enhancements are moved to the production site.

In order for the club official to register an individual for an event, they will need to login to the eClubhouse and go to Events and select the desired event. Click on the roster link across from the event name. In the Event Registration Management screen click on the + icon to add any additional individuals to the desired event. The administrator may add as many individuals as they wish even if the event is full.

The club official will be prompted to enter the appropriate registration information or select the individual from the club roster.

In addition, the eligibility criteria has been modified to allow restrictions on the number of registrants a club will permit for an event and caps the participation limit for an event to include any guests a registrar signs up.

The Registration Limit is the number of individuals who register for the event. In the case where the event requires approval, this is the number of “approved” individuals.

The Participation Limit is the total number of individuals that are allowed to participate in the event. As an example, one registrar may sign up an additional 3 people for a total of 4 towards the participation limit.

Important: Each time a new release is launched, the documentation in the InfoPortal is updated to include the changes.  In the following location you will find an Association Users Guide, a Club Users Guide, an email template focused on the eGolfer user as well as an Email template for the Non-eGolfer.

Web Ed: Highlighting Features of eGolfer

GHIN is pleased to announce the topic for the July Web Education session will highlight features of the eGolfer program.

Two sessions will be held Monday, July 29, at 11 a.m. and 2 p.m. (ET). eGolfer offers an array of items for the individual golfer pertinent to their scoring record. Some of the options available to the individual golfer include a quick post option using tee information already recorded from a previous score, ability to enter individual hole by hole statistics, reporting capabilities on the hole by hole statistics and even the selection of gathering a list of all scores posted by a custom date range. eGolfer is another added member benefit as a part of your GHIN service to the individual golfers of the associations.

GHIN Mobile App – iOS version Update

The iOS user’s of the GHIN Mobile app, will be receiving an update within a few days to address the score posting message of “Score out of Range”.  The source of the issue has been identified and corrected.  Once the app is published and user’s update their app, they will no longer receive this error message.

 

 

GHIN Server Maintenance – July 18, 2013

In our continuing effort to service associations more efficiently it will be necessary to take down the GHIN servers Thursday morning,  July 18 at 7:00 am ET for approximately 30 minutes. This will enable us to perform important server updates.

Thank you for your support and patience during this maintenance period.

USGA New Call Center

The USGA will be implementing a new call distribution center this week. The phone number to contact GHIN technical support will continue the same, (800) 940-8535 x1, but features have been added to benefit the state and regional golf association staff. When calling in, if all GHIN staff are currently assisting other customers, you will have the option to wait on the line for the next available support person or leave a message for a return call. Calls will be queued and answered in the order received.

We hope these new features will allow you to better service your clubs and members.

TPP Club v1.2

GHIN is pleased to announce the release of TPP Club v1.2 later today. This release includes improvements to the user interface based on association feedback and identified errors fixed.

Please Note: GHIN will notify you when these changes and enhancements are moved to the production site.

The highlight of this release is the added links to help guide the club official as to the next steps in the process of setting up a tournament. If an event has not been created the club official will be offered suggestions on how to get started: create an event, delete an event or import an event.

Tournamnet List

Once the event has been created, the club official will be offered guided links to add players via the club list, custom player entry, importing golfers from a file or add players by creating teams.

Player Entry

Once players have been added, the club official will be guided to reassign tees, creating flights, creating pairings or assigning players to skins.

Pairings

These are just a few of the screens where the club official will find guided links to offer suggestions as to the next step in the tournament creation process. However, the club official will always have the ability to use the full complement of menu items at any time.

Additional items addressed in this release include:

  • The import player process now reads the gender data correctly for mixed events.
  • Cleaned up text display on Cart/Caddie Assignments.
  • Corrected the Team Gross & Net HBH Scoring Report for a 4 person team scored by entering individual hole by hole scores using 2 best balls.
  • Corrected the net scores report in calculating a Variable Best Ball Event when running a Net Score Report.
  • Enhanced the performance of report generation.

 

 

eClubhouse Webinar – Broadcast Email Overview

GHIN is pleased to announce we have scheduled a webinar session to review the new eClubhouse Broadcast Email functionality.

The session will be held Wednesday, July 17, at 2:00 p.m. (ET).

We have received some wonderful feedback from associations already using the feature and would like to provide a quick overview of what it is and how it can help associations and clubs communicate via the eClubhouse platform.

eClubhouse v1.3 Release (July 9th, 2013)

GHIN will be releasing the next phase of eClubhouse, eClubhouse v1.3 this afternoon – July 9. The highlight of this release will be broadcast email capabilities for association and club administrators.

Broadcast email offers club officials an easy and powerful communication tool. Emails can be customized to a specific group, status or even Handicap Index range. An easy word editor provides the club official some basic features like bold, italics, underline, copy, paste and highlighting while offering embedded media file options, images and emoticons too! Multiple attachments can quickly be added to any email for distribution and you can search!

At the association level, a broadcast email can be sent to the following select groups:

  • Club Administrators (Site Manager, Commerce Manager, Event Manager, Membership Manager, News Manager, Photo Manager)
  • Event Participants (Ability to choose event from list)
  • Club Contacts (Ability to choose all or specific clubs)
  • Association Administrators (Site Manager, Commerce Manager, Event Manager, Membership Manager, News Manager, Photo Manager)
  • Association Contacts  

At the club level, a broadcast email can be sent to the the following select groups:

  • Club Members (Active, Inactive or All)
  • eGolfers (Active, Inactive or All)
  • Club Administrators (Site Manager, Commerce Manager, Event Manager, Membership Manager, News Manager, Photo Manager)

Additional enhancements in this release:

  • Unlock an Account – When a member has locked themselves out due to multiple incorrect log-in attempts, they can unlock their own account by resetting their password.
  • One Account per GHIN # – eGolfer will now only allow one eGolfer account per GHIN #.
  • Site Setup (Contact Information) – Required field check boxes have been added to the Site Setup page so an administrator may require certain contact information to be displayed on the Members page.

  • Members Page – A new column was added that will display an “I” (information) icon that when clicked will display the additional contact information for that golfer.  If the club admin has not required any additional information (Address, Home Phone, Cell Phone, Work Phone) the column will not display.

  • Photo Caption Field – An apostrophe can now be used in the caption field for a photo.

Rescheduled TPP Default Tee Webinar

Our TPP Default Tee webinar has been rescheduled for Tuesday, July 9 at 11:00 am ET. Anyone that previously registered for the Tuesday, July 2 session will need to register for the new webinar on the 9th.

The session will focus on how a club official can identify a default tee per player for each golf course used in their TPP Club instance. Training on this new feature will demonstrate how the selected default can be set on an individual player basis, by selecting a group of golfers at a time, by selecting all golfers at a time and even using the GHP Club golfer profile default tee settings.

On Call Weekend Support

We have completed our initial review of on call weekend support and determined there is tremendous value and need to golf associations for this service. Based on your feedback through surveys, we have made a few adjustments to the program with regard to the hours. We will continue to monitor the program going forward and make necessary modifications to meet the changing needs of the golf associations.

Beginning July 6, 2013 on call weekend support hours will be from 9:00 am to 5:00 pm ET on Saturday’s and Sunday’s. Please continue to contact GHIN support at (800) 940-8535 x1 or ghinsupport@usga.org.

On call staff will respond within one hour of contact unless they are actively assisting an association. In that case a response will be given as soon as possible. GHIN staff are prepared to assist with any issues that might arise but please note that some requests may not be feasible with limited staffing. An escalation process is also in place so that we may continue to assist in resolving advanced issues during these extended support hours.
